Travel Agency Policies

Thank you for choosing Sultan Travels for your travel needs. Please review the following policies carefully before confirming your reservation. By booking with us, you acknowledge that you have read, understood, and agreed to the terms outlined below.

1. Non-Refundable Deposits

  • A non-refundable deposit is required at the time of booking to secure your reservation. The amount of the deposit varies depending on the type of travel package.

  • The deposit is non-refundable under any circumstances, including cancellations, changes, or no-shows.

  • Final payment is due 30 days before departure, and failure to make final payment by this date may result in the cancellation of your booking.

2. Cancellations and Changes

  • Customer Cancellations: If you need to cancel your trip, you must notify us in writing. Refunds will be issued according to the following schedule:

    • 25% refund if canceled 15 days before departure, no refund if canceled less than 15 days before departure.

  • Changes to Booking: Requests to change travel dates or destinations may be subject to additional fees and availability. Changes are subject to the terms and conditions of third-party suppliers, including airlines, hotels, and tour operators.

  • No-Show Policy: If you fail to show up for your scheduled trip without prior cancellation, no refund will be issued.

3. Airline Delays, Cancellations, and Schedule Changes

  • Sultan Travels is not responsible for any airline delays, cancellations, or schedule changes. In such cases, please contact the airline directly for compensation or rebooking options.

  • Any additional costs incurred due to such delays or cancellations, such as overnight accommodations, meals, or transportation, are the responsibility of the traveler.

4. Hotel Delays or Cancellations

  • Sultan Travels is not responsible for any delays, cancellations, or changes made by hotels. Please contact the hotel directly in the event of any issues.

  • We do not guarantee the availability of rooms or services at any hotel. In case of hotel cancellation or unavailability, we will do our best to provide alternate accommodations, but we are not liable for any inconvenience or additional costs incurred.

5. Additional Fees

  • Optional Extras: Certain items or services, such as excursions, meals, transfers, or travel insurance, may not be included in your travel package and are subject to additional fees. These fees will be clearly outlined during the booking process.

  • Airport Taxes and Fees: Certain airport taxes, service fees, or local taxes may not be included in the cost of your trip. These charges are the responsibility of the traveler and will be payable at the time of travel.

  • Payment Processing Fees: A processing fee may apply to certain forms of payment, such as credit card transactions. This fee will be communicated to you at the time of booking.

6. Travel Insurance

  • Travel insurance is strongly recommended to protect against unexpected events such as trip cancellations, interruptions, or emergencies. Sultan Travels does not offer travel insurance options, but the purchase of insurance is not mandatory.

  • We are not responsible for any claims or issues related to travel insurance, and it is the traveler’s responsibility to understand the terms and conditions of any insurance coverage purchased.

7. Travel Documentation

  • It is the traveler’s responsibility to ensure that all travel documents (e.g., passport, visa, identification, vaccine certifications) are valid and in order. We strongly advise that travelers check passport, visa, and health requirements for their destination well in advance of travel.

  • Sultan Travels is not responsible for denied entry, fines, or delays due to improper documentation.

8. Liability Disclaimer

  • Sultan Travels acts as an intermediary between the traveler and service providers such as airlines, hotels, and tour operators. We do not accept liability for any loss, injury, or damage arising from the use of these services.

  • We are not responsible for any delays, accidents, injuries, or losses that occur during travel. Travel involves certain inherent risks, and the traveler assumes full responsibility for their safety and well-being during the trip.

9. Force Majeure

  • Sultan Travels is not liable for any failure or delay in fulfilling its obligations due to events beyond our control, including but not limited to natural disasters, government actions, civil unrest, war, strikes, or pandemics. In such cases, we will make every effort to assist with rebooking or alternative arrangements, but we cannot guarantee a refund or compensation.

10. Dispute Resolution

  • In the event of a dispute or claim related to your travel booking, you agree to attempt to resolve the issue through mediation. If mediation is unsuccessful, the dispute will be subject to the jurisdiction of Reston, Virginia, United States, and you agree to resolve the matter in accordance with the local laws.
